The Privacy Policy of Ethan's World

We take your privacy seriously. This page lays out exactly what information the Ethan's World server and the Ethan's Utilities bot collect, why we need it, and the control you have over it. By joining the community or using the bot, you accept the practices described below.

Data the Server Collects

Running a community on Discord means we naturally see standard profile information, plus a few extras tied to how the server itself runs.

Discord Profile Data
Your username, user ID, avatar, and join date are visible to staff and other members — that's standard Discord behavior. We never export this data, sell it, or share it outside the community.

Activity Metrics
We track your message count, level, invites, bumps, and reaction activity. These power the monthly leaderboards, automatic role rewards, and giveaway entry bonuses. All counters reset on the last day of each month, as outlined in the Reward Guidelines.

Ticket Transcripts
When you open a ticket — support, claim, report, or anything else — the conversation may be saved for staff review and dispute resolution. Saved transcripts include messages, attachments, and the names of everyone involved. We keep them only as long as needed to resolve disputes or audit decisions.

Payout & Reward Info
Claiming a reward may require submitting your Roblox username, proof screenshots, or payout receipts. We store these strictly for verification and fraud prevention — things like double-claims, chargebacks, or impersonation. This information is never sold or shared with any third party.

Moderation Records
Warnings, mutes, kicks, and bans are linked to your Discord ID so staff can review your full history when making moderation decisions. These records follow the monthly reset schedule outlined in the Reward Guidelines.

Data Ethan's Utilities Bot Collects

Ethan's Utilities runs on a small set of data points to make the economy, mini-games, and progression systems work.

What We Collect
To keep the economy, level system, and games running, the bot keeps track of:
  • Your Discord user ID — how the bot knows it's you
  • Your currency balances — Fish Coins, Robux, Deposited Robux
  • Your inventory — items, pets, season pass progress, equipped tools
  • Your economy XP, level, and command usage — for level gates and stats tracking
  • Your cooldowns — so commands like /daily can't be spammed
  • Your active game state — so an in-progress crash, mines, or blackjack round survives a restart
  • Your premium subscription status & expiry date
We do not store your DMs, passwords, payment details, IP address, or anything beyond what's needed for the bot to function.

How We Use Your Data
Your data only ever powers the bot itself — running games, calculating rewards, processing transactions, showing your stats, and enforcing the rules. We do not sell, share, rent, or analyze any user data for advertising, marketing, or third-party purposes. Full stop.

Logs & Anti-Abuse
Certain actions are logged for staff visibility — things like currency transfers, suspicious behavior, exploit attempts, and moderation actions. These logs help us investigate and prevent abuse, and we delete them once they no longer serve that purpose.

Public vs Private Data
A small portion of your data is visible to other members — leaderboards (/leaderboard), your balance when someone runs /balance @you, your season pass level, and your public profile card. If you'd rather not appear on the leaderboard, staff can hide you on request.

Data Storage & Security
Your data lives on a private server with restricted access. Only the bot owner and senior staff can touch the database, and that access is used strictly for maintenance, debugging, and moderation. We do our best to keep your data secure — but no system on the internet is 100% safe, and we can't promise total protection against external threats or accidental data loss.

Data Retention
Your data sticks around for as long as your Discord account is part of the server. If you leave or get banned, your economy data stays in the database so you can pick up right where you left off if you return — though staff will permanently delete it on request.

Your Rights
You can always ask us to:
  • View your stored data — open a ticket in open-ticket
  • Delete your data — this permanently wipes your balances, inventory, and progression
  • Hide your stats from public leaderboards — just message a staff member
Requests are usually handled within 7 days. Some logs (such as anti-abuse logs) may be kept for safety reasons even after a deletion request.

Third Parties
The bot runs on third-party infrastructure (Discord and our hosting provider). When your data passes through those systems, it's also subject to their own privacy policies. Beyond that, your data never leaves Ethan's World staff.

Robux Deposits
Every Robux deposit is logged with your user ID and the amount, both for accounting and to help us catch fraud. As stated in the Terms of Service, deposits are final once confirmed — they cannot be refunded or reversed.

Children
Ethan's Utilities follows Discord's minimum age rules — 13+ in most regions, and higher where local law requires. The bot isn't designed for anyone under that age. If we discover data belonging to an underage user, we'll delete it.

Policy Updates
This Privacy Policy may be updated from time to time. We'll announce any material changes in the Discord server. Continuing to use the bot after an update means you accept the revised version.
